BASIC SEACHER (Operations)

  • This is what we do!  It’s our reason for existing!  We are nothing without boots on the ground to go looking for people
  • Did you know we are always recruiting basic searchers?
  • Basic Searchers can join at any time of year (they may participate in training and exercises prior to completing the necessary basic searcher training)

FUND DEVELOPMENT TEAM

Activities may include:

  • Writing thank you letters
  • Writing to potential donors
  • Developing fund development campaign
  • Bingos
  • Major gifts 
  • Grant research and writing
  • Third party fundraisers

BINGO COORDINATOR (Fund Development)

Activities may include:

  • Contacting Elks to book times for YKSAR to work 3 Bingos a year
  • Work with Volunteer Resources and Public Information to ensure recruitment of 5 volunteers per bingo to work on behalf of YKSAR
  • Work all three Bingos a year (5 hours/bingo), acting as YKSAR lead for YKSAR volunteers and Elks staff at Bingo

VOLUNTEER RESOURCES TEAM (Logistics)

Activities may include:

  • Coordinating volunteer recruitment campaign with Public Information team
  • Tracking volunteer hours
  • Receiving volunteer applications
  • Ensuring necessary paperwork is received and documented
  • Maintain volunteer files
  • Connect new volunteers with teams within the organization
  • Drafting job descriptions
  • Plan and hold volunteer appreciation events

PUBLIC INFORMATION TEAM

YKSAR is hoping to grow our Public Information Team.  As an organization we currently have:

  • A website (and it needs work)
  • A public-facing Facebook page (that could use more content)
  • An internal Facebook group (that needs participation!)

Over the next year, we plan to:

  • Complete a communications plan for the organization,
  • Develop public information and internal information products, 
  • Participate in public events to raise the profile of YKSAR,
  • Recruit new members, both as searchers and in other roles (like Public Information!)

REVIEWER for 2023/2024 Financial Reports (Governance)

  • Review financial records (receipts, invoices, cheque stubs, bank reconciliations) and financial reports (balance sheet, income statement) and give an independent opinion on the financial reports
  • Short-term Commitment (~5 hours)
  • Note: The Board is still responsible for paying close attention to YKSAR financial statements

Elections for BOARD OF DIRECTORS (Governance)

  • The Board provides governance, strategic direction, and financial oversight to ensure the organization fulfills its mission effectively.
  • This position is subject to election at Annual General Meeting (i.e. Voting Members help ensure the best board members are chosen to run the organization)
  • Board Members serve for a term of one year
  • Board Members may serve for multiple terms
  • Board Members often serve in other capacities in the organization (e.g. Board Member, and Search Manager), but this is not required
  • Board meetings usually held once a month, up to two hours long, plus 1-2 hours of a month of other contributions (e.g. reviewing materials for board meetings)
  • In addition, President, Treasurer, and Secretary may need need to contribute up to 10 hours a month (depends on work to be done, and how it is organized)
